The four documents that protect a small construction firm

Nobody works on your site before an induction — and the induction only "happened" if there's a signed record. It's the first thing the HSE asks for after an incident, and the first hole a claimant's solicitor looks for. Cover: site hazards and rules, emergency arrangements (alarm, muster, first aider), welfare, PPE requirements, permits in use, and who to report to. Then name, date, signature.

The most expensive words on site are "just crack on, we'll sort the paperwork later". Every change from the agreed scope — extra work, changed spec, different materials — gets one of these the same day: what changed, who instructed it, cost and time impact, signed or at least sent in writing. Under the Construction Act, a proper application can become the "notified sum" the payer must pay if they miss their notice deadlines — so make every application notice-quality: application number and date, period covered, work completed this period (itemised), variations claimed, retention position, total due, and the due/final dates you rely on. A disciplined snagging list gets you paid faster: item, location, description, who's responsible, target date, done/checked columns — walked and agreed WITH the client, not emailed into a void. The agreed list also caps the argument: what's on it gets fixed, what's not on it isn't a reason to hold the final payment. Photograph each item before and after.
