Every building.
Every contract.
Live.

You maintain blocks and commercial buildings across London on annual contracts. Graftum puts your whole portfolio on one screen: what needs doing now, who's on it, and exactly how much of every contract is spent — the day it happens, not at year end.

Annual contracts fail quietly

🕳️
Margin leaks silently

A leaky roof here, three extra callouts there — you find out a contract lost money twelve months later, when it's too late to renegotiate.

📞
Faults arrive by phone tag

The concierge calls the office, the office texts the electrician, nobody writes it down — and the client thinks nothing is happening.

🧾
Clients question invoices

"Did your electrician really spend four hours there?" Without dated, signed records, every dispute is your word against theirs.

Give every building a direct line

A QR poster in each lobby. The concierge scans it, reports the fault in 20 seconds — no account, no app — and the building turns red on your map before they've put their phone away. They even get a tracking link: Received → Being handled → Resolved. Your clients feel heard. You look unstoppable.

Sell certainty, not maintenance

When you pitch a hotel or a managed block in central London, don't describe your service — show them this screen. Their people report in 20 seconds, see "team expected by 23:59" in real time, and sign on the spot. A 24/7 operation they can watch is worth more than any brochure — and it's the difference in a tender.

Every contract, one glance: how much of the year has gone versus how much of the value is spent. Green means relax. Red means renegotiate — while there's still time to. No spreadsheet ever told you this before March.

How much is riding on the contracts you can't see?

Slide to your portfolio. If catching overruns early protects even 5% of contract value — a conservative figure for unwatched reactive contracts — this is what's at stake every year:

What you get

🔔
Client fault reporting — with tracking — a QR poster per building; reports land on your map in real time, and the reporter gets a link that shows Received → Being handled → Resolved. Your clients stop chasing you by phone.
🗓️
Statutory PPM, on autopilot — fire alarm tests, emergency lighting, gas safety, EICR, legionella: set the schedule once per building and the tasks create themselves, 7 days before they're due, straight onto your team's phones.
📑
Monthly client report, one click — works completed, faults received and resolved, per building, per month — printed and ready to send with the invoice. Your clients see exactly what the contract buys them.
📉
Live position per building — contract vs spend, with the pace line: "64% of the year gone, 81% spent — burning fast". Renegotiate from data, not gut feel.
✍️
Signed day sheets — every intervention recorded on the worker's phone, signed on-screen, dated PDF emailed same day, publicly verifiable.
🗓️
Daily dispatch — tasks per person per building; your team sees the day's callouts on their phones, in their language (7 languages).
🧾
Cost ledger per building — filterable by labour / materials / subcontractors, monthly totals, ready for the year-end conversation with each client.
🪪
Team compliance & Arrival Passes — CSCS/ECS cards tracked with expiry alerts, DBS and right-to-work on record, and a digital pass sent ahead of every visit so the door knows exactly who's coming.
📋
Quotes & invoices too — for works outside the contract: quick quotes from your price book, one-tap invoices, CIS handled where it applies.
🤝
Your subcontractors, connected — subs on Graftum share their job with you: agreed price, live progress, signed day sheets in your desk. Their margins stay theirs; your data stays yours; either side can revoke.
🔒
Your data stays yours — every company's buildings, costs and reports are isolated to their account alone; anything cross-company moves only through explicit, revocable shares. Read the guarantee.
🛡️ For the buildings that can't take chances

Your clients know exactly who's walking in

Hotels, managed blocks, prime offices — the person at the door has to know the electrician arriving at 11pm is who he says he is. Before your team leaves the yard, the building's contact gets an Arrival Pass: name, trade, card details, your DBS and right-to-work record, which building, which date.

🪪Match the person at the door — masked card number and expiry, compared against the physical card in their hand.
🛡️Vetting on the record — dated DBS and right-to-work entries per team member, visible on every pass.
🚫Revocable in one tap — plans changed? Revoke the pass and the link shows "DO NOT ADMIT" instantly.

What the big FM platforms don't have

The enterprise tools organise the workers you already have. Graftum does that — and three things they can't.

  Typical FM platforms Graftum
When you're short an electrician Not their problem — call an agency, pay the mark-up. Post the job from the same account. A jobs board in 7 languages and a network of card-verified workers — applicants land straight in your desk, yours alone.
When a client disputes an invoice A job history entry — your word, on your system. A signed, tamper-evident day sheet — signed on-screen at the building, dated PDF to both sides, with a public verification link the client can check themselves.
When your team isn't English-first English interface. Good luck. 7 languages built in — Romanian, Polish, Spanish, Portuguese, Bulgarian, Ukrainian. Your electrician reads today's callouts in his own language.
When you need a feature A ticket into next year's roadmap. You talk to the people who build it. This whole Building Maintenance mode came out of one conversation with a firm like yours — and shipped in days.
Getting started Demos, onboarding weeks, per-user annual contracts. 3 minutes to sign up, 3 months free, no card. Simple per-company pricing after — early firms keep preferential rates permanently.
The one nobody else has

Short an electrician by Thursday?

Every FM platform assumes you already have the people. Graftum is also where the people are: post the job from your desk, and it goes out on a jobs board that workers read in 7 languages — backed by a growing network of card-verified electricians, painters and plumbers across London.

📢Applicants land straight in your account — and only yours. No agency mark-up in the middle.
🪪Workers come with cards and qualifications on their profile — CSCS/ECS visible before you call.
⚡Applying takes 30 seconds on any phone — no account needed — so good people actually apply.

A dedicated mode, not a workaround

At signup, pick "🏢 Building maintenance / FM" — the app rearranges itself around your business: the Buildings desk becomes your front screen, set up for annual contracts and reactive work. And because Graftum is built by people from the trade, the mode keeps growing — firms like yours tell us what to build next, and it ships in days, not quarters.

🔐
Verifiable, not just "digital"

Every signed day sheet carries a public verification link — your client can check the record themselves, on our site, without asking you.

Questions firms like yours ask

How do my clients report a problem?

Every building gets its own QR poster and short link. The concierge or building manager scans, describes the fault and taps send — about 20 seconds, no account, no app. It lands in your Buildings desk instantly, the building turns red on your map, and they get a tracking link showing Received → Being handled → Resolved.

How do my clients know the people arriving are vetted?

Before every visit you can send the building's contact an Arrival Pass: the worker's name, trade, masked card numbers with expiry, and your dated DBS / right-to-work record. The door compares the pass with the person and their physical card — and if plans change, you revoke the pass and the link says "do not admit".

Do you handle planned maintenance (PPM)?

Yes — set each building's statutory schedule once (fire alarm tests, emergency lighting, gas safety, EICR, legionella — presets included) and the tasks generate themselves 7 days before they're due, assigned to your team. And every month, one click prints the client report: works done, faults resolved, per building.

Do my workers have to use the app?

Not for costs — those are entered centrally by your office. Workers can optionally use the free worker app for daily tasks and signed day sheets — that's where the proof of every intervention comes from. If they can use WhatsApp, they can use it; it works in 7 languages.

We also do quoted works, not just contract maintenance.

Tick both at signup — "Building maintenance" and "Small & medium jobs". You get the Buildings desk AND quotes, invoicing and scheduling for the one-off works.

What does it cost?

First 3 months completely free, no card needed. After that, simple per-company pricing — early access firms keep preferential rates permanently.

How long does setup take?

Sign up in 3 minutes, then add your buildings — a portfolio of 20 buildings takes under half an hour. We'll happily do the first setup with you on a call.

Open tomorrow knowing where every contract stands.
